1. Purpose and principles
Vacationspars is committed to a debate community in which every person can participate safely, fairly, accessibly, and with dignity. This policy explains the conduct expected in our spaces and how equity concerns are handled.
Our approach is guided by safety, respect, inclusion, fairness, confidentiality, proportionality, informed consent, and protection from retaliation.
2. Who and what this policy covers
This policy applies to debaters, judges, coaches, Junior participants, parents or guardians where involved, VSMT, Equity Officers, volunteers, guests, and tournament or program staff.
It applies across the Vacationspars website, Discord and WhatsApp spaces, voice and video rooms, live debates, feedback, coaching, programs, tournaments, community events, and other official communications. It may also apply to conduct outside those spaces when that conduct clearly arises from Vacationspars participation or creates a credible safety risk within the community.
3. Expected conduct
- Treat participants with dignity and respect, including when disagreeing strongly.
- Do not bully, intimidate, threaten, harass, stalk, humiliate, vilify, or retaliate against another person.
- Do not discriminate based on race, colour, ethnicity, nationality, religion, sex, gender, gender identity or expression, sexual orientation, disability, age, pregnancy, family status, class, language, appearance, health status, or another protected or personal characteristic.
- Do not make personal attacks, harmful generalisations, unwanted sexual comments, sexual advances, or share sexual or degrading material.
- Intoxication, stress, competitive pressure, or a claimed joke does not excuse harmful conduct.
- Do not discourage reporting, undermine an Equity process, or pressure any person to withdraw a concern.
4. Debate, feedback, and sensitive content
- Arguments, examples, heckling, adjudication, and feedback must remain relevant and respectful. Debate does not create permission to target a participant personally.
- Slurs should not be used. A person using reclaimed language about their own identity does not give others permission to repeat it.
- Use a clear content warning before graphic discussion of sexual violence, abuse, self-harm, suicide, severe injury, or similarly distressing material.
- Respect stated names and pronouns. Intentional or repeated misgendering may be treated as an equity concern.
- Feedback must address the debate performance rather than a person’s identity, accent, background, appearance, or worth.
- An ordinary disagreement with a result or feedback is not by itself an equity complaint. It becomes an equity issue when it involves discrimination, harassment, intimidation, retaliation, a conflict of interest, or another breach of this policy.
5. Safeguarding children and Junior participants
- Adults must communicate with minors through official or group channels. Where a necessary one-to-one matter arises, include a parent, guardian, coach, or Equity Officer.
- Do not initiate sexual or romantic conduct with a minor, groom a minor, request secrecy, or move a minor into private communication for an inappropriate purpose.
- Do not expose a minor’s direct contact details publicly outside the Vacationspars space or share those details without proper authority.
- Do not record a minor, or place a minor in an isolated private voice or video interaction, without appropriate consent and safeguarding arrangements.
- Feedback and coaching involving a minor should occur in an observable official setting or with an approved adult present.
- A credible risk to a minor may require immediate protective action and escalation even when the reporter requests no further action.
6. Consent and personal boundaries
- Consent must be informed, voluntary, specific, and capable of being withdrawn at any time.
- Silence, previous consent, or participation in the community is not consent to personal, sexual, romantic, physical, or recorded interaction.
- No participant may pressure another person to disclose private information, continue an unwanted conversation, accept contact, or participate in a recording.
7. Clashes and conflicts of interest
Participants must disclose relevant conflicts that could reasonably affect safety, impartiality, or confidence in an allocation. Examples include a close family or intimate relationship, current or recent coaching, teammates, institutional links, financial relationships, or a serious interpersonal conflict.
- Submit clashes confidentially through the Equity Portal as early as possible.
- Do not create strategic clashes to avoid a judge, opponent, teammate, role, or difficult allocation.
- Equity may adjust rooms, panels, responsibilities, or access to prevent a conflict.
8. Accessibility and reasonable adjustments
Participants may request reasonable adjustments relating to disability, health, language, sensory needs, access technology, time zones, caregiving, or another genuine access need. Vacationspars will consider requests in good faith while preserving the integrity and practical operation of the activity.
9. Confidentiality, privacy, and retaliation
- Complaint information is shared only with people who need it to assess safety, investigate fairly, make a decision, or comply with law.
- Absolute confidentiality cannot be promised where disclosure is necessary to protect a minor, address an urgent risk, give the respondent a fair opportunity to answer, or comply with a legal obligation.
- Do not publish complaint details, leak evidence, identify protected participants, or conduct a public campaign about a live case.
- Retaliation against a reporter, respondent, witness, support person, or decision-maker is prohibited and may result in separate action.
10. Reporting a concern
Formal complaints and clashes should be submitted through the Equity Portal. You may also raise an informal concern with the Equity Officer on duty when you need guidance before deciding whether to make a formal report.
- Describe what happened, when and where it happened, who was involved, and the outcome or support you are seeking.
- Include relevant messages, screenshots, links, witnesses, or other evidence where safely available.
- Make reports honestly. A report that is not proven is not automatically a false report.
- For immediate danger, contact local emergency services first. The Equity Portal is not an emergency service.
11. How reports are handled
- Equity acknowledges and triages the concern, prioritising immediate safety and safeguarding risks.
- The complainant, respondent, and relevant witnesses may be contacted separately. Each person should have a fair opportunity to provide information.
- Equity may seek documents, platform records, allocations, messages, or other relevant evidence.
- The standard is a fair assessment of the available information. Decisions should be reasoned, proportionate, and documented.
- Mediation or an informal resolution may be offered only where appropriate and freely accepted. It is not suitable for every case.
- All decision-makers must disclose conflicts and recuse themselves where necessary.
12. Outcomes and appeals
Possible outcomes include no further action, guidance, education, an apology, mediation, a warning, a clash or allocation restriction, supervision requirements, removal from a room or session, temporary access restrictions, account suspension, program removal, or a permanent ban. The response should reflect the seriousness, evidence, safety risk, pattern of conduct, and needs of affected participants.
A participant may request review by an uninvolved person where there was a material procedural error, important new evidence, a conflict of interest, or an outcome that was clearly unreasonable. An appeal is not a full rehearing merely because a participant disagrees with the decision.
13. Support and current Equity Officer
The Equity Portal is the permanent place to file a complaint or clash. The current month’s Equity Officer is shown on the VSMT and Equity cohort page with an Equity label. You may contact the Officer for guidance, but sensitive reports should still be submitted through the confidential portal.
If someone is in immediate danger, contact local emergency services. Then notify the Equity Officer or an Admin when it is safe to do so. Vacationspars is not a replacement for emergency, legal, medical, or mental-health services.
