Vacationspars User Guide
01. Welcome to Vacationspars
Vacationspars helps debaters practise regularly, receive useful feedback, track development, and participate in an international debate community.
- Live spars are available in British Parliamentary and World Schools formats.
- Your dashboard brings together signups, draws, ballots, records, feedback, notifications, analytics, and opportunities.
- Keep your profile and contact information current so teammates, judges, coaches, and organizers can reach you.
- Treat every participant respectfully and follow all equity and safeguarding expectations.
02. Navigate Your Dashboard
The dashboard is your control centre. The available tabs may differ depending on your role, subscription, coaching relationship, or administrative responsibilities.
- Overview shows basic statistics, quick links, and recent activity.
- Live Debates contains the complete daily spar workflow.
- Notifications contains platform announcements and action reminders.
- My Records, Analytics, and Insights provide deeper performance information for eligible Premium or trialing users.
- Leaderboard shows monthly and all-time BP and WSDC standings, plus published referral rankings.
- My Profile stores your public username and contact information.
03. Sign Up for a Spar
When VSMT opens signups, go to Live Debates and select Spar Signups.
- Choose Speaker or Judge. Judge signup remains available even when you have no speaking credit.
- Select BP or WSDC where format choice is available.
- For team signup, enter the correct registered usernames of your teammates.
- If you replace an existing team signup, the platform warns you before removing the linked team rows.
- Your role or position preference is not final. VSMT makes the final allocation based on the day’s constraints.
- In a Pro-Am Spar, anyone may participate. Your verified category determines whether you appear as Pro or Amateur in the selected role.
Remember: A signup records your intention to participate. It is not the same as checking in.
04. Understand Speaking Credits
Speaking credits support the barter system that keeps enough judges available for regular community spars.
- You must have active speaking rights when speaker-credit enforcement is turned on.
- One confirmed judging assignment earns one credit and up to one week of speaking rights.
- Credits stack, but all active speaking rights reset at the end of the calendar month.
- A late-month credit may therefore provide fewer than seven remaining days.
- Chair, panelists, and trainees assigned to a room earn credit when its ballot is confirmed.
- Credits are personal and cannot be transferred.
- Admin or VSMT may grant, revoke, disable enforcement, or declare a temporary reset-day exemption.
Remember: Speaking participation does not consume a credit. The entitlement remains active until its displayed expiry.
05. Check In on Spar Day
Check-in confirms that you are actually present and ready to be placed in the draw.
- Return to Live Debates when check-in opens.
- Check in under the correct role and format.
- A registered participant who does not check in may be left out of the draw.
- If you missed signup but check-in permits walk-ins, you may check in as a walk-in.
- Walk-in participation is clearly identified to VSMT in the draw-building reference pool.
Remember: Signup says “I intend to attend.” Check-in says “I am here now.”
06. Read the Released Draw
After check-in closes, VSMT manually creates and releases the draw.
- Find your room, format, speaking position, teammates, opponents, and judging panel.
- BP rooms use OG, OO, CG, and CO teams. WSDC rooms use Government and Opposition.
- The Pro-Am labels are informational and show your role-specific classification.
- Join only the room assigned to you unless VSMT announces a correction.
- If your allocation appears wrong or you cannot attend, contact VSMT immediately.
07. Join the Debate Room
Online spars take place in the designated Vacationspars Discord voice rooms unless the session announcement specifies another venue.
- Join the Discord server before the scheduled start time.
- Move into the voice room matching your released draw.
- Speakers should prepare the announced motion and respect the format’s preparation rules.
- The chair coordinates the room, keeps the panel aligned, and ensures the consensus ballot is completed.
- Panelists and trainees should participate in deliberation as directed by the chair.
08. Ballots, Scores and OA Presence
The judging panel submits one consensus ballot for the room. The first valid submission fulfils the panel’s ballot obligation.
- The ballot records speakers, roles, scores, placements, and OA Presence.
- BP rankings are derived from team totals. WSDC results are derived from Government and Opposition totals.
- The ballot does not accept unresolved ties.
- OA Presence records whether a speaker stayed for Full, Half, or None of the oral adjudication.
- VSMT confirms or returns submitted ballots. Records update after successful confirmation.
- Your name appearing as a non-swing speaker on the confirmed ballot proves actual speaking participation.
09. What to Do After the Debate
Your responsibilities may continue after the room ends.
- If you participated in a round, whether as a speaker or as a judge, complete every outstanding feedback obligation shown in Live Debates.
- Feedback should be specific, constructive, respectful, and based on what happened in the round.
- Speakers can view released feedback through their records and feedback surfaces.
- Judges can view judging records and average feedback scores after release.
- Remain for the oral adjudication whenever possible because OA Presence is recorded.
10. Equity, Safety and Clashes
The Equity Policy protects safety, dignity, fairness, and access across Vacationspars, including live debates, coaching, official social spaces, and the Junior Program.
- Read the full Equity Policy for the conduct rules, Junior safeguarding standards, confidentiality protections, complaint process, and possible outcomes.
- Use the confidential Equity Portal to submit a complaint or declare a relevant clash.
- An ordinary disagreement with feedback or a result is not automatically an equity complaint.
- The Equity Policy is always available from the Equity Portal whenever you need to check it.
- The current month’s Equity Officer appears on the VSMT and Equity cohort page with an Equity label.
- For immediate danger, contact local emergency services first because the Equity Portal is not an emergency service.
11. Records, Analytics and Insights
These tools turn confirmed debate data into a useful development history.
- My Records separates speaking and judging activity and supports BP/WSDC filtering.
- Analytics shows performance trends across selected periods and formats.
- Insights interprets patterns and provides development suggestions.
- Trialing, Premium, Junior-eligible, and coaching-plan users receive the applicable Premium access.
- Free users retain basic overview statistics but detailed records, analytics, and insights are gated.
- Coaches can view eligible linked-student records.
12. Leaderboards and Qualification
Leaderboards recognize consistent participation and performance. BP and WSDC are calculated separately.
- Monthly speaker rankings require at least 7 eligible sessions and use the best 7 scores.
- For WSDC speakers, substantive speeches count while reply speeches are excluded from speaker ranking calculations.
- Monthly judge rankings require at least 5 judging sessions and use feedback averages.
- All-time speaker rankings track 48 eligible sessions. Ironperson appearances in one room collapse to one performance using the higher eligible score.
- The top 8 ranked speakers and top 5 ranked judges on the monthly leaderboards qualify for the end-of-month spar.
- The immediately following ranked speakers and judges are the reserve end-of-month participants.
Remember: Always check the current event announcement. Organizers may publish additional eligibility or availability requirements for a specific event.
13. Programs and Opportunities
Vacationspars includes more than daily spars.
- Apply independently for Pro Speaker or Pro Judge verification.
- Premium and active-trial users can join the Vacationspars Junior program where eligible.
- Coaches can manage linked students, records, analytics, insights, and comparisons.
- Tournament pages contain registration details, schedules with a time zone converter, resources, tab links, and awards slides when released.
- The Resources library contains BP, WSDC, WUDC, and EUDC motion banks, recorded debates, and learning materials.
14. Contact, Support and Next Steps
You now know the complete journey from signup to post-round development.
- Tap a linked username to open the contact card containing available WhatsApp, Discord, and telephone details.
- Keep your own contact fields current through My Profile.
- Use the Features/Bugs area to report a technical problem or propose an improvement.
- Read announcements and notifications because session arrangements can change.
- When unsure about a live session, contact VSMT before taking an action that affects teammates or the draw.
